We are looking for a responsible Administrative Assistant/Clerical person with proven multi-tasking experience to perform a variety of administrative and clerical daily tasks.
The duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs, and managing our company's general administrative activities.
Administrative Assistant responsibilities include managing calendar activities, preparing reports, and conducting repetitive tasks in Microsoft Office, such as maintaining appropriate filing of documents and specimens and maintaining Excel files.
The ideal candidate should have excellent oral and written English communication skills and be able to organize their work using CRM tools (such as Zoho), and is well versed in MS Office.
We would like to meet you if you have previous experience as an administrative assistant and familiarity with our industry.
Ultimately, a successful Admin Assistant should ensure an efficient and smooth day-to-day operation of our office.
Job Description MUST BE HIGHLY ORGANIZED with excellent attention to detail Complete, maintain, and coordinate office, administrative, and client service activities to ensure that deadlines are met, proper procedures are followed, and errors/problems are avoided and mitigate EXCELLENT COMMUNICATION -write and distribute email, correspondence memos, letters, and forms, answer and direct phone calls Assist in the preparation of regularly scheduled reports Filing of documents and specimens Order office supplies and research new deals and suppliers Provide general support to Bio Option clients and visitors Plan to meet short-term and long-term goals and deadlines Productive with little to no supervision Must be willing to lift items of up to 50 pounds Must be willing to work with biospecimens (Frozen Tissue, Blood) Skills Proven experience as an administrative assistant or office admin assistant Experience filing documents - 2
years Knowledge of office management systems and procedures Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel in particular) Data entry and management 2
years Excellent time management skills and the ability to prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task Associate's degree preferred, High School degree; additional qualification as an Administrative assistant or Secretary will be a plus Shipping and receiving experience (major & personal couriers) Type 45 WPM Reliable transportation, Driver's License & Good Driving Record Any medical education is a plus but not required.
No overtimes.
